Case Study: El Dorado DOT

El Dorado DOT Streamlines Fleet Operations with Squarerigger

Customer Profile

Kent Taylor, Equipment Superintendent and Fleet Services Manager, El Dorado County DOT manages over 750 vehicles and a $200,000 parts inventory system across three maintenance shops, Kent has spent over 20 years leading El Dorado’s fleet operations toward efficiency and accuracy.

Challenge: Overcoming Inefficiencies with Outdated Systems

El Dorado County DOT faced significant challenges in managing its fleet before adopting Squarerigger’s software. When Kent Taylor first joined, the county had no structured inventory management—just scraps of paper and take-off parts. Over the years, failed attempts with various canned inventory programs left the team searching for a more robust, streamlined solution.

Solution: Adopting Squarerigger for Comprehensive Fleet Management

After testing several systems, El Dorado DOT implemented Squarerigger’s SQCore Vehicle Tracker, which provided key features like barcode scanning, real-time inventory management, and powerful reporting tools. Taylor noted, “SQ.7 (now SQCore) was the first real polished system that we got into. The biggest thing we’ve always enjoyed is the ability to get a hold of someone, get a response, and actually see our requests being implemented.

Results: Transforming Fleet Operations with Efficiency and Accuracy

Enhanced Workflow and Data Accuracy

  • Transitioning from manual data entry to mechanics inputting their own information using barcode scanners reduced errors and eliminated the need for a dedicated data entry person.
  • “Mechanics entering their own information saves us an entire person just pounding a keyboard all day,” Taylor shared.

Streamlined Inventory Management

  • Barcode scanning has revolutionized the way El Dorado manages parts, making the process faster and more reliable.
  • “We use the barcode scanners a lot, which really streamlines our inventory. We get much more accurate information than before.”

Powerful Reporting and Decision-Making

  • The team now generates reports effortlessly, providing valuable insights to administration and accounting teams.
  • “The reports are great for administration. If they have a question or need information for year-end accounting, they can just pull a report and get everything they need.”

Seamless Collaboration Across Locations

  • Squarerigger's networking capabilities allow multiple teams to work simultaneously from different locations.
  • “Being able to have multiple people in multiple places working is really important for us.”

Kent’s Advice for Fleets Choosing a Maintenance System

  • Barcode Scanning: “The barcode scanning capability is huge. Find a system that offers this—it will save you a great deal of time and money.”
  • Robust Reporting: “Make sure the system you choose has a strong reporting function. Other systems we’ve tried couldn’t generate even basic reports.”

A Veteran’s Perspective on Building a Successful Fleet Operation

Kent’s journey in fleet management began with hands-on roles ranging from oil changer to service manager, eventually leading to his current position overseeing all fleet services for El Dorado County. His deep industry experience, combined with the adoption of SQCore, has enabled the DOT to operate at peak efficiency.

Reflecting on the early days, Kent said:

“When I started, they had no idea how to operate an inventory. I built a parts room from scratch and introduced the county’s first computer-based system. After several failed attempts with other programs, Squarerigger’s SQ.7 (now SQCore) has been our trusted solution ever since.”
